Seibu Group Supplier Guidelines

Request to all our business partners (suppliers)


 

Ⅰ. Introduction

The Guidelines are intended for the Seibu Group, together with all of its suppliers, to contribute to the materialization of a sustainable society.
The Seibu Group aims to realize a sustainable society by helping to develop communities and society, preserve the environment, and provide safe and secure services through Seibu Group companies’ services, as well as take up the challenge of creating a new sense of excitement for customers with pride and responsibility. The Group is actively promoting initiatives through “Sustainability Action.” However, a sustainable society cannot be achieved through the Seibu Group’s efforts alone. Therefore, we are considering engaging in this matter while respecting our mutual positions and seeking cooperation in order to build mutual trust with all of our suppliers, whether in Japan or overseas, who sympathize with our initiatives. The Seibu Group will communicate actively to ensure that all of its suppliers understand and sympathize with our initiatives.
We request that all of our suppliers understand the “Seibu Group’s Sustainable Procurement Policy,” which defines the Seibu Group’s way of thinking about procurement, and make efforts in line with the following contents when engaging in transactions with us.
Seibu Group companies may ask you, as suppliers, to provide opportunities for us to verify the status of your activities. Besides, we would also like you to work with your business partners to understand the “Seibu Group’s Sustainable Procurement Policy” and move forward in line with the contents of the Guidelines* in order to contribute to realizing a sustainable society throughout all of our supply chains.





Ⅱ. Matters that Suppliers are Requested to Address

1. Ensuring safety

(1) When providing all products, services, etc., maintain the safety standards and quality required by laws and regulations in order to ensure the safety and security of customers. In addition, establish a management system to achieve this.
(2) Avoid raw materials that are conflict minerals or produced by illegal methods.



2. Legal compliance and fair transactions

(1) Comply with domestic and international laws, social norms, and internal rules, while conducting business in a fair, sincere, and ethical manner.
(2) Comply with all laws and regulations, and do not engage in inappropriate transactions that hinder fair, equitable, and free competition.
(3) Provide accurate information regarding the selection of suppliers.
(4) Do not engage in inappropriate transactions that hinder fair, equitable, and free competition.
(5) Properly manage intellectual property rights related to transactions.
(6) Do not accept or provide gifts or entertainment that are beyond the bounds of social convention.
(7) Develop a whistleblowing and consultation system to identify and resolve issues such as violations of laws and regulations and this Policy. In addition, keep information concerning whistleblowers and consulters strictly confidential, and take measures to ensure that they do not suffer any disadvantage such as retaliation for whistleblowing or consulting.

3. Consideration for the environment

(1) Strive to reduce the impact of climate change by promoting the efficient use of energy and the use of renewable energy, and by curbing the greenhouse gas emissions throughout the life cycle of products, services, etc.
(2) Strive to reduce the impact of business activities on the natural environment and ecosystems, and to conserve biodiversity.
(3) Comply with the environmental laws and regulations of your business area and prevent emissions of hazardous substances into the air, water, soil, etc. In addition, manage chemical substances appropriately, and make efforts to prevent emissions of pollutants and reduce materials that cause them.
(4) Strive to conserve water resources through their proper management and efficient use.
(5) Comply with the environmental laws and regulations of your business area and conduct business activities aimed at contributing to a recycling-oriented society by reducing waste and using resources more effectively.
(6) Strive to procure raw materials giving due consideration to resource sustainability and biodiversity conservation.

4. Respecting human rights and ensuring a safe working environment

(1) Comply with laws and regulations and uphold international norms related to human rights and labor, and respect the human rights of all persons involved in your business activities.
(2) Do not discriminate in any way based on race, gender, religion, beliefs, nationality, ethnicity, age, disability, sexual orientation, gender identity, health status, place of birth, or occupational or social status. In addition, do not undermine equal opportunity in hiring and employment.
(3) Do not engage in offensive speech or other inhumane conduct, such as sexual harassment, power harassment, or harassment related to pregnancy, childbirth, childcare, or nursing care.
(4) Comply with the laws and regulations of your business area and respect the freedom of association and the right to collective bargaining as means of achieving labor-management consultations.
(5) Do not use forced labor or child labor. In addition, do not tolerate human trafficking or any other form of modern-day slavery.
(6) Comply with the laws and regulations of your business area and pay employees at least the minimum wage. In addition, give consideration to the payment of a living wage that will ensure an adequate standard of living in the area.
(7) Comply with the laws and regulations of your business area and properly manage the working hours of employees to prevent them from working illegally long hours.
(8) Conduct health and safety management in compliance with laws and regulations concerning health and safety in order to prevent occupational accidents and create a physically and mentally safe working environment and conditions. In addition, conduct the necessary inspections and other measures to ensure safety in terms of machinery and equipment. Furthermore, provide workplace health and safety information, training and drills in the employees' native language or another language they can understand.
(9) Take measures to ensure safety in preparation for disasters and other emergencies by conducting disaster drills, etc.
(10) Take measures to prevent work-related accidents and occupational illnesses. In the event of an accident or other incident, record and report the circumstances, and take appropriate countermeasures and corrective action.
(11) Ensure that facilities provided to employees are appropriately safe and sanitary.

5. Risk and crisis management

(1) Develop a business continuity plan (BCP) in preparation for disasters, etc.
(2) Identify risks to your company appropriately, engage in risk management, and establish a crisis management system, including emergency response methods, to minimize damage from natural disasters, etc.

6. Appropriate information management

(1) Manage and protect all personal and confidential information appropriately in accordance with laws and regulations, do not use such information in an unauthorized or inappropriate manner, and maintain a management system to prevent leaks. In addition, take defensive measures against cyberattacks etc., and strive to prevent both internal and external damage.
(2) Disclose information in a timely and appropriate manner in accordance with laws, regulations, and social norms. In addition, disclose accurate information to companies, customers, or clients when providing products, services, etc.

7. Coexistence with local communities

Strive to coexist in harmony with local communities, taking into consideration the potential impact your business activities may have on them.




Ⅲ. Response to Violation of these Guidelines

If efforts are not being made in accordance with these Guidelines, we will in principle engage in dialogue and work together to correct the situation. In the event that a company fails to cooperate with our investigations and corrective actions, we will consider suspending transactions with that company.

*In the case that Seibu Group companies have formulated their own guidelines, such guidelines will be included in the Guidelines.
