Basic Policy on the Protection of Personal Information

SEIBU HOLDINGS INC. (hereinafter "the Company") and Seibu Group companies (referring to the Company's subsidiaries and affiliates, hereinafter "Group Companies"; the Company and Group Companies are collectively referred to as "the Group") hold the business philosophy of contributing to the development of local communities and society as well as environmental conservation, and providing safe, secure, and comfortable services, as set forth in the Group Vision.
To realize this, we recognize the importance of gaining the trust of our customers, shareholders, employees, and local communities as a member of society, and aim to establish a compliance system for the entire Group, centered on the Company.

The Company recognizes the proper handling of personal information entrusted to us by our customers as a critical compliance issue. Therefore, the Company hereby declares the following basic policy on the protection of personal information and will ensure its implementation and continuous improvement in our business activities. (For customers using SEIBU Smile ID or SEIBU PRINCE CLUB, the separately stipulated basic policy for the protection of personal information shall apply in place of this Policy.)

Furthermore, with respect to the handling of Specific Personal Information, the matters set forth in the "Basic Policy for the Proper Handling of Specific Personal Information" shall take precedence.

1. Purposes of Use of Personal Information

  1. The Company will use personal information entrusted to us by our customers for the following purposes:

    (1) For the provision of membership services and target services
    e.g., For sales promotion activities, such as providing various guidance on sales and product information offered by the Group.
    e.g., For granting points at participating stores and providing services associated with membership cards.

    (2) For the exercise of rights and fulfillment of obligations based on contracts, etc.
    e.g., For various procedures such as applications, enrollment, withdrawal, and reservations.
    e.g., For the fulfillment of obligations and exercise of rights by the Group, and for other related responses.

    (3) For advertising, promotion, and marketing
    e.g., For use in product development, customer trend analysis, market research, etc., related to the products and services of the Group.

    (4) For service improvement and research and development
    e.g., For conducting surveys related to service improvement, such as research on usage status and satisfaction regarding the services and products provided by the Group.

    (5) For contacting customers and responding appropriately to inquiries, etc., regarding transactions
    e.g., For contacting customers who have applied for events, sweepstakes, etc., hosted by the Group.
    e.g., For responding to opinions and requests from customers who use the services provided by the Group.,

    (6) For contacting customers in the event of an emergency

    (7) For the cancellation of transactions and post-cancellation management

    (8) For the purposes described in Section 1 (3)

    (9) For providing various information offered by affiliated third parties

    2. Disclosure and Provision of Personal Information to Third Parties

    (1)The Company will not disclose or provide your personal information to third parties without the consent of the individual concerned, except when there are special reasons such as requirements under laws and regulations.

    (2) The Company may outsource the handling of personal information to third parties within the scope of the notified or published purposes of use. In such cases, the Company will contractually obligate the outsourcee to perform appropriate management in accordance with laws and regulations and will strive to ensure appropriate supervision for the protection and management of personal information.

    3. Joint Use of Personal Information

    The Company will jointly use the personal information entrusted to us by our customers as follows:

    Information obtained from various contracts, reservations, and applications (date/time, amount, content, application channel, etc.)
    Information obtained from the use/purchase of various facilities and services (card information, point information, service usage history, product purchase history, etc.)
    Information regarding billing and payments, such as usage fees, credit cards, payment status, and payment dates
    Information regarding participation in events, campaigns, etc.
    c) Service usage history and access log information
    Information regarding usage history and access logs, such as user ID, apps used, startup date/time, operation logs, cookies, cache ID, access date/time, and access logs
    d) Personal information obtained through the use of various services, including biometric-related information
    Height, weight, vital signs, images, voice, fingerprints, etc.

    e.g., For conducting surveys related to service improvement, such as research on usage status and satisfaction regarding the services and products provided by the Group.
    d) For contacting and responding appropriately to inquiries, etc.
    e.g., For contacting customers who have applied for events, sweepstakes, etc., held jointly or in collaboration by the Group.
    e.g., For responding to opinions and requests from customers who use the services provided by the Group.
    e.g., For necessary business communications and confirmation of transaction details from the Group to customers.
    e) For the provision of the Group's services
    e.g., For providing services and after-sales services offered jointly or in collaboration by Group companies.

    4. Handling of Anonymously Processed Information

    (1) Compliance with Relevant Laws, Regulations, and Guidelines
    When handling anonymously processed information, the Company will comply with the Act on the Protection of Personal Information, other laws and regulations, the "Guidelines for the Act on the Protection of Personal Information," and other applicable guidelines.
    (2) Matters Regarding Safety Management Measures
    When handling anonymously processed information, the Company will take necessary and appropriate safety management measures to prevent the leakage, loss, or damage of anonymously processed information and information related to processing methods, etc. (hereinafter collectively referred to as "Anonymously Processed Information, etc."). In addition, the Company will exercise necessary and appropriate supervision over employees and contractors (including sub-contractors) who handle Anonymously Processed Information, etc.
    (3) Items of "Information Relating to Individuals" Included in Anonymously Processed Information Created by the Company
    When creating anonymously processed information, the Company will publicly disclose the items of information relating to individuals included in the anonymously processed information created.
    (4) Provision to Third Parties
    When providing anonymously processed information to a third party, the Company will publicly disclose the items of information relating to individuals included in the anonymously processed information and the method of provision. Furthermore, the Company will clearly indicate to the third-party recipient that the information being provided is anonymously processed information.

    5. Handling of Pseudonymously Processed Information

    (1) Compliance with Relevant Laws, Regulations, and Guidelines
    ・The Company will comply with the Act on the Protection of Personal Information, other laws and regulations, the "Guidelines for the Act on the Protection of Personal Information," and other applicable guidelines to ensure the proper handling of pseudonymously processed information and information used to create pseudonymously processed information (including deleted identifiers). (hereinafter collectively referred to as "Pseudonymously Processed Information, etc.").
    ・When handling pseudonymously processed information, the Company will not use contact information or any other information included in such pseudonymously processed information for the purpose of contacting the individual to whom the personal information used to create the pseudonymously processed information relates.
    ・The Company will strive to delete Pseudonymously Processed Information, etc. without delay when it is no longer necessary for its use.
    (2) Matters Regarding Safety Management Measures
    The Company will take necessary and appropriate safety management measures to prevent the leakage, loss, or damage of Pseudonymously Processed Information, etc. In addition, the Company will exercise necessary and appropriate supervision over employees and contractors (including sub-contractors) who handle Pseudonymously Processed Information, etc.
    (3) Provision to Third Parties
    The Company will not provide Pseudonymously Processed Information, etc. created or held by the Company to third parties, except as permitted by laws and regulations.
    (4) Purposes of Use
    Except as required by laws and regulations, the Company will handle pseudonymously processed information for the following purposes:
    a) For marketing and analysis

    b) For service improvement and research and development
    • e.g., For conducting surveys related to service improvement, such as research on usage status and satisfaction regarding the services and products provided by the Group.
    (5) Joint Use
    The Company will jointly use pseudonymously processed information as follows:
    a) Items of pseudonymously processed information to be jointly used
    • Information processed from the personal information described in Section 3 (1) above so that a specific individual cannot be identified.
    b) Scope of joint users

    6. Disclosure, etc., of Retained Personal Data

    Customers may request the Company to disclose the personal information held by the Company regarding themselves. If a customer wishes to request the disclosure, correction, suspension of use, etc., of their personal information held by the Company, please submit a request to the Personal Information Inquiry Desk .     7. Additions and Changes to the Purposes of Use

    The Group will use personal information within the notified or published scope of the purposes of use. In the event that personal information is to be used beyond this scope, the Group will inform the customers of that fact.

    8. Establishment of Management Systems

    (1) Formulation of the Privacy Policy
    • To ensure the proper handling of personal information, the Company has formulated the Privacy Policy, which covers "Compliance with Relevant Laws, Regulations, and Guidelines" and "Inquiry and Complaint Handling Desks."
    (2) Establishment of Rules Regarding the Handling of Personal Information
    • The Company has established internal regulations for the handling of personal information at each stage, including acquisition, use, storage, provision, and deletion/disposal. These regulations define handling methods, responsible parties, persons in charge, and their respective duties, thereby building a comprehensive management system.
    (3) Organizational Safety Management Measures
    • The Company has appointed a person responsible for the handling of personal information. We have also clarified which employees handle personal information and the scope of the personal information they handle. Furthermore, we have established a reporting and communication system to inform the responsible person in the event that facts or signs of a violation of the Act on the Protection of Personal Information or internal regulations are detected.
    • The Company regularly conducts self-inspections regarding the status of personal information handling and undergoes audits by a dedicated internal department.
    (4) Human Safety Management Measures
    • The Company provides regular training to employees on key points of concern regarding the handling of personal information.
    • Matters concerning the confidentiality of personal information are stipulated in the Company's work rules (employment regulations).
    (5) Physical Safety Management Measures
    • In areas where personal information is handled, the Company controls the entry and exit of employees, restricts the equipment they may bring in, and implements measures to prevent unauthorized persons from viewing personal information.
    • The Company takes measures to prevent the theft or loss of equipment, electronic media, and documents used to handle personal information. Furthermore, when such equipment or media is carried, including during movement within the office, we implement measures to ensure that personal information cannot be easily identified.
    (6) Technical Safety Management Measures
    • Access control is implemented to limit the persons in charge and the scope of the personal information databases, etc., they handle.
    • The Company has introduced mechanisms to protect information systems used for handling personal information from unauthorized external access or malicious software.
    (7) Responding to Requests for Disclosure, etc.
    • The Company respects the rights of customers regarding their personal information. When a customer requests the disclosure, correction, or suspension of use of their personal information, we will respond within a reasonable period and to a valid extent in accordance with the separately stipulated "Procedures for Disclosure, etc., of Personal Information."

    Basic Policy Concerning the Proper Handling of Specific Personal Information

    The Company sets forth this basic policy on ensure the proper handling of individual numbers and specific personal information (hereinafter, "specific personal information, etc.") throughout the organization.
    1.Collection and Utilization
    The Company will collect and utilize specific personal information, etc., only in cases of necessity and within the scope of administrative duties set forth by law.
    2.Compliance with Related Laws, Ordinances and Guidelines, etc.
    The Company will comply with the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedures, the Act on the Protection of Personal Information and the Guidelines for Proper Handling of Specific Personal Information (for private entities) to ensure the proper handling of specific personal information, etc.

    With regard to security control measures for specific personal information, etc., the Company will separately establish a management system based on internal rules for handling specific personal information, etc., and ensure that this system is operated properly.
